Looking for a friendly, energetic, dependable, team player to assist various departments within the organization as an Administrative Assistant and Receptionist. Hours are 8:00am – 5:00pm. Friendly, casual office environment – great opportunity! This person will provide administrative support for all aspects of the company, from sales to upper management, while distributing all incoming phone calls for the company.
o Answering incoming calls and logging them
o Data entry of invoices, credits and debit memos; posting to correct monthly cycle.
o Maintain Sales Files, both open and closed
o Prepare outgoing documents for Production
o Type various documents and creating forms periodically
o Do mail merges and mass mailings
o Research and book travel arrangements
o Maintaining/troubleshooting all office machinery
o Makes sure that fax machines and printers in common area are filled with paper
o Purchase all office supplies and various office and shop items
o Read printer and copier meters monthly
o Distribute all incoming mail.
o Track and Log Employee’s vacation and personal time.
o Review freight bills for sales orders.
o Various other duties as needed
- 2-5 years office experience preferred
- Must possess strong organizational, verbal and interpersonal skills
- Must be able to multi-task
- Excellent telephone etiquette
- Word and Outlook skills.
- Intermediate Excel experience required.
- Ability to maintain/create spreadsheets
- MAS200 experience a plus
- Must have worked in a manufacturing/distribution/production (industrial environment)
